Ride for Ceylon (“we”, “our”, “us”) operates the Ride for Ceylon mobile application (the “App”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our App.
1. Information We Collect
Personal Information: When you create an account, we collect your name, email address, phone number, country of residence, and team assignment. If you are a rider, we also collect your rider number and emergency contact details.
Location Data: With your explicit consent, we collect real-time GPS location data during the cycling event (March 11–14, 2026) to enable live tracking features. Location sharing can be enabled or disabled at any time through the App settings.
Photos: If you upload a profile photo, we store the image on our servers.
Usage Data: We automatically collect device information, app usage statistics, and crash reports to improve the App experience.
2. How We Use Your Information
We use the collected information to provide and maintain the App, enable live GPS tracking during the event for safety and coordination, display rider profiles and team information, send event notifications and announcements, facilitate communication between riders, volunteers, and organisers, improve and optimise the App, and ensure the safety of all participants.
3. Sharing of Information
Your location data during the event is visible to event organisers and administrators through the admin dashboard. Your name, country, and team information are visible to other App users. We do not sell, trade, or rent your personal information to third parties. We may share information with law enforcement if required by law or to protect the safety of participants.
4. Data Storage and Security
Your data is stored on secure servers hosted by DigitalOcean. We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. Passwords are encrypted using bcrypt hashing and are never stored in plain text.
5. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the App services. GPS tracking data is retained for 90 days after the event concludes and is then permanently deleted. You may request deletion of your account and associated data at any time by contacting us.
6. Your Rights
You have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your data, withdraw consent for location tracking at any time, opt out of push notifications through App settings, and request a copy of your data in a portable format.
7. Children’s Privacy
The App is not intended for use by children under the age of 16. We do not knowingly collect personal information from children under 16.
8. Third-Party Services
The App may contain links to third-party services such as JustGiving (for donations) and Strava (for fitness tracking). These services have their own privacy policies and we are not responsible for their practices.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of changes by posting the new policy in the App and updating the “Last updated” date.
